Terms of Service
These terms are the agreement between you and Whitehead Wellness: how membership works, how you leave and what happens when you do, what becomes of what you share, and what we are — and are not — responsible for. In plain language, not six pages of it.

By creating an account or using Whitehead Wellness, you agree to these Terms and to our Privacy Policy. If you do not agree, please do not use the platform. If you use it on behalf of someone else, you confirm you are allowed to accept these terms for them.
1. Who can use Whitehead Wellness
You must be at least 18 years old and able to form a binding contract to use Whitehead Wellness. By using it, you confirm that you are.
2. Your account
- Give us accurate information and keep it current.
- Keep your password to yourself. You are responsible for what happens under your account, so tell us promptly if you think someone else has access.
- One account per person, for your own use.
3. Membership, billing, and the price you keep
Whitehead Wellness offers a free tier and paid membership tiers. Paid memberships are recurring subscriptions that renew automatically each billing period until you cancel. By subscribing, you authorise us and our payment processor (Stripe) to charge your payment method on each renewal until you cancel.
The price you join at is the price you keep. For as long as you hold a given membership without interruption, a later price increase applies only to new members — not to you. This is not merely a promise; it is how the system is built.
If a payment fails, we may keep your access active for a short grace period while we retry, rather than cutting you off immediately. If payment still cannot be collected, your paid access may pause or end. Taxes may apply depending on where you live.
4. Leaving, downgrading, and cancellation
You can cancel or move to a lower tier at any time from inside your account — without writing to anyone or explaining yourself. When you do:
- the change takes effect at the end of your current paid period, and you keep everything your current tier unlocks until then;
- cancelling moves you to the free tier — your account, your streak, and everything you built stay exactly where they are; and
- you can undo a scheduled change any time before it takes effect.
Membership fees are non-refundable except where the law requires otherwise. Full details are in our Refund Policy.
5. Coaching, not medical care
Whitehead Wellness is wellness education and coaching. It is not medical care, therapy, or a substitute for professional advice, and nothing on the platform — including anything said in a Guardian’s voice — is a diagnosis or treatment plan. Please read our Coaching Disclaimer and Your Health Information. You are responsible for your own health decisions, and you should consult a licensed professional before making changes to your exercise, nutrition, or health routine.
6. Dragon Crests and physical rewards
Dragon Crests are earned, never bought. When you complete a tier’s goals and Kate verifies them, a physical crest is mailed to the address you provide. Give us an accurate address; we are not responsible for items lost due to an incorrect one. Crests have no cash value and cannot be exchanged for money.
7. Your content and the community
You own what you create — your posts, comments, reflections, and the evidence photos you upload. By sharing them on the platform, you grant Whitehead Wellness a non-exclusive licence to host, store, and display that content solely to run the service for you — for example so Kate can verify a goal, so your progress is saved, and so the community can see what you post there. This licence ends when you delete the content or your account, except for copies we must keep by law or that others have already reshared within the community.
The community runs on one simple standard: keep it kind. We operate a single moderation process, and we may remove content or restrict accounts that break our Community Guidelines. You are responsible for what you post, and you confirm you have the right to share it.
8. Things you agree not to do
- Break the law, or use the platform to harm, harass, or deceive anyone.
- Post someone else’s private information, or content you do not have the right to share.
- Try to break, overload, scrape, or gain unauthorised access to the platform or other members’ accounts.
- Impersonate anyone, or misrepresent your connection to Whitehead Wellness.
- Resell or commercially exploit the service without our written permission.
9. Our content and brand
The platform, its design, the Guardians and their stories, the written material, and the Whitehead Wellness name and marks are owned by us or our licensors and are protected by law. We grant you a personal, non-transferable right to use the platform for your own wellness while your membership is active. Please do not copy, redistribute, or create derivative works from our content without permission.
10. Third-party services
We rely on trusted providers to operate — including Stripe for payments and others described in our Privacy Policy. Your use of the platform may be subject to their terms as well, and we are not responsible for their acts or omissions.
11. The service is provided “as is”
We work hard to make Whitehead Wellness reliable, but we provide it “as is” and “as available,” without warranties of any kind, whether express or implied, to the fullest extent the law allows. We do not warrant that the platform will be uninterrupted, error-free, or that it will produce any particular result. Wellness outcomes vary from person to person and are never guaranteed.
12. Limitation of liability
To the fullest extent permitted by law, Whitehead Wellness and its owner, coaches, employees, volunteers, and affiliates will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, profits, or goodwill, arising from your use of the platform. To the extent we are ever found liable, our total liability is limited to the amount you paid us in the twelve months before the event giving rise to the claim. Some jurisdictions do not allow certain limitations, so parts of this section may not apply to you.
13. Indemnification
You agree to cover Whitehead Wellness against reasonable claims and costs arising from your misuse of the platform, your violation of these terms, or content you posted that infringed someone else’s rights.
14. Suspension and termination
You can stop using the platform and close your account at any time. We may suspend or end access if you seriously or repeatedly break these terms, if it is necessary to protect other members or the platform, or if the law requires it — and, where it is reasonable to, we will tell you why. On termination, the sections meant to survive (such as content licences we still need, disclaimers, liability limits, and dispute terms) continue to apply.
15. Changes
We may update the platform and these terms as the service grows or the law changes. When we make a material change to these terms, we will update the date above and, where appropriate, tell you directly. Continuing to use Whitehead Wellness after a change means you accept the updated terms.
16. If something goes wrong between us
Please contact us first — most things are resolved with a straight conversation. These terms are governed by the laws of the United States and the state in which Whitehead Wellness is established, without regard to conflict-of-law rules, and any dispute not resolved informally will be handled in the courts of that state, unless the law where you live gives you a right to do otherwise.
